Digital technical documentation and the EU Machinery Regulation 2027
What the new EU Machinery Regulation means for digital instructions and why machine builders should rethink documentation access.
The regulation applies from 14 January 2027
Regulation (EU) 2023/1230 on machinery applies from 14 January 2027. Among other requirements, it explicitly permits instructions for use to be provided in digital format when the applicable conditions are met.
When instructions are digital, manufacturers must indicate how they can be accessed and provide them in a format that users can print, download and save locally. The regulation also sets availability requirements for digital instructions.

For machine builders, the larger opportunity is to improve how customers access documentation throughout the lifecycle of a machine or installation. A static file server may contain the right document, but that does not mean the customer can reliably find the right revision for the right asset.
- Organize documentation around the relevant machine, installation or project.
- Make documents available through a secure customer environment.
- Keep the source of truth in ERP, SharePoint or another controlled repository.
- Design access so documentation remains available when customers actually need it.
Use the regulation as a trigger to improve aftersales
Compliance and customer experience do not have to be separate projects. A modern documentation strategy can support both by connecting controlled source systems with a customer-facing operational workspace.
